To open the TIP processing window, select Processing | TIP in the Client module.
The left side of the TIP window displays the TIP Format, Process Job, and status queues. The number and type of status queues available depends on the current state of batches. For example, the Incomplete Commit queue contains batches that have encountered errors during the commit process and is only displayed if a batch has encountered errors during the commit process. Committing is a process which copies the data to other removable and mass storage copies of the disk group as well as modifying the database to mark the documents as committed.
The right side displays the formats, process jobs or batches in that state. They are:
TIP Format |
Lists available TIP formats |
---|---|
Process Job |
Lists available process jobs. A Process Job is one or more processes (COLD, DIP, TIP, Check Image Processor, AutoFill Keyword Importer, Remittance Processor) set up to run sequentially. |
Awaiting Commit |
Lists batches that were processed into the database and are in an uncommitted state. Batches in this queue can be purged from OnBase. |
Committed |
Lists batches that have been verified and submitted to OnBase as valid documents. |
Incomplete Process |
Lists batches that have started processing, but have encountered errors during processing. After resolving the processing issue, the batch should be purged. |
Incomplete Commit |
Batches that have started the commit process, but have encountered errors during the process. After resolving the commit issue, the batch should be committed. |
Next you need to select a TIP format. To select the desired process format to run, right-click and select TIP. The TIP dialog box appears.
Then you can pick options for the process format described in the following table:
Option |
Description |
---|---|
Store Document Indices |
Stores Keyword Values for the imported documents. |
Store Document Data Files |
Copies the data files specified in the import index file into the corresponding Disk Group(s). |
Store Import File |
You do not need to select Store Import File. The Import Index file is stored by default to the SYS Import Indexes Document Type. This setting remains for backwards compatibility. |
Create Auto Folder |
If the Document Type has been properly configured for foldering, this option will generate the folder structure for the document type if a structure does not currently exist. |
Test Only |
Tests the process by running the file through memory. This option will not delete the source document, create documents in OnBase, or copy the data to the Disk Group. It will only create a Verification Report for the process. |
Default Keywords |
Allows you to assign Keyword Values to Keyword Types that are not configured to be obtained from the import index file. Default Keyword Types can be used in addition to Keyword Values obtained from the import index file. Click Default Keywords and select the Keyword Type from the left side of the screen. Enter the value in the Keyword entry field and click Add. Note:
Default Keyword Types can only be assigned to Keyword Types that are properly configured for the Document Type. |
Default Document Date |
Sets the document date for all Document Types that are not configured to obtain the date from the process format. |
After you have selected the desired options, click Process. The process starts and a status bar is displayed.
The Windows ® operating system architecture allows for a maximum number of items to be viewed in a list. Therefore, OnBase users will be able to view only the first 65,543 documents in a list generated by a process or retrieval.
