The Workflow component of the Integration for Epic Chart Search solution is the ECS - Chart Search Notification life cycle, which consists of the ECS - Initial Validation queue and 10 processing queues (ECS – Update Processing 0, ECS – Update Processing 1, and so on).

Documents entering the life cycle are sent to the ECS - Initial Validation queue and prepared for processing. They are assigned to a processing queue based on the final digit of the document's Document Handle (for example, a Document Handle ending in 1 is sent to the ECS – Update Processing 1 queue for processing).

Once documents enter a processing queue, they are evaluated by the following evaluation tasks:

  • Evaluate whether the document is a valid medical record. If not, the document is removed from the life cycle and no update notification is sent to Epic.
  • Evaluate whether the document is an excluded Document Type (such as Filed in Error). If so, the document is removed from the life cycle and no update notification is sent to Epic.
  • Evaluate whether the document is in a Clinical Document Type Group. If not, the document is removed from the life cycle and no update notification is sent to Epic.
  • Evaluate whether the document is a WBP (Web Blob Passthrough) document and therefore does not require updates in Epic. If so, the document is removed from the life cycle and no update notification is sent to Epic.
  • If QA of integrated scans is being used and the rule set is enabled, evaluate whether the document's import source = Epic. If it is, a notification is sent to Epic. If not, the document is routed on to the next rule for batch scan evaluation.
  • Evaluate whether a batch scanned document is still being processed (in Indexing or QA). If it has not yet been fully processed, the document is removed from the life cycle and no update notification is sent to Epic.

For documents that pass through all of the above evaluation tasks without being removed from the queue, an HL7 notification is sent to Epic.
