The Encompass Attachment ID keyword is created when the Integration for Encompass Workflow is imported into your system. The Encompass Attachment ID is the unique identifier for all attachments in Encompass.

When the Integration for Encompass polls for documents, it is possible the same loan can be included in multiple polling requests. OnBase does not mark a loan in Encompass as archived. Therefore, if a loan is updated in Encompass and the modified date again meets the criteria for polling, the loan may be archived to OnBase a second time. This leads to potential duplicate documents stored in OnBase. The Encompass Attachment ID keyword helps detect duplicate document archival based on the Encompass attachment ID value.

The Encompass Attachment ID keyword must be added to all document types which store attachment files from Encompass.

Note: If required, this can be added as a hidden Keyword Type.

To add the Encompass Attachment ID keyword to a document, complete the following steps.

  1. Log into OnBase Configuration
  2. Navigate to Keyword | Keyword Types. The Keyword Type Configuration dialog box is displayed.

  3. From the Defined Keyword Types list, select Encompass Attachment GUID and click Document Types. The Assign Document Types dialog box is displayed.

  4. From the Available list, select all Document Types that stores an attachment document from Encompass and click Add to move them to the Selected list.
  5. Click Close
  6. Recycle the OnBase Application Server and OnBase API Server application pools to reflect the changes.
