To prevent unauthorized access to documents, OnBase must be configured with appropriate security keywords for each document accessed by the Hyland for Workday HCM application.

The following steps are meant as an example setup. Steps may differ depending on your OnBase configuration. Please refer to the Security Keyword Usage section in the Cloud System Administration documentation for details.

To configure secure document authorization:

  1. Launch OnBase Configuration.
  2. Go to Keywords | Keyword Types.
  3. Create a new keyword named Workday Security with datatype Alphanumeric and recommended maximum length of at least 100.
  4. Go to Users | User Groups, and then select a User Group for which you want to prevent unauthorized access.
  5. Select the Security Keyword option and add the Workday Security keyword with the following conditions:

User Group Name hfw.employee or hfw.admin
Note: The User Group Name can be any applicable read and write group configured in hcmisbe.

  1. After you’ve selected these conditions, select Username and then click Save.
    CAUTION: Ensure that User Groups, which require administrative access to Documents irrespective of their security keyword configuration, do not have the Workday Security security keyword configured.
    Note: As Document Access Authorization requirements change, the Workday Security Keywords must be updated accordingly in OnBase. Please contact your system administrator for details on updating Workday Security.
