After you apply a picklist to a type, you can assign access control markings from that picklist to any instances of that type to add a layer of security. You assign access control markings using a dialog box in the viewer, which displays all available markings, organized by picklist. Markings that are assigned to the item have a green check icon. If you do not have the Apply privilege for certain markings in the applied picklists, you cannot modify the assignments for those markings. To assign an access control marking to a record category, record folder, or record, complete the following steps.

Assign an access control marking to a record category
  1. In the Views pane, click Record Folders and use one of the available views to select a record category in the explorer grid.
  2. Right-click the category and click Open.
  3. In the viewer, if the Actions pane is hidden, on the View menu, click Actions.
  4. On the Actions pane, click the View Assigned Access Control Markings button.
  5. In the Assigned Access Control Markings dialog box, click Modify Markings.
  6. In the Modify Assigned Access Control Markings dialog box, double-click the access control marking you want to assign to the record category. A check icon appears.
  7. Click OK to enforce the changes and close the dialog box.
Assign an access control marking to a record folder
  1. In the Views pane, click Record Folders and use one of the available views to select a record folder in the explorer grid.
  2. Right-click the record folder and click Open.
  3. In the viewer, if the Actions pane is hidden, on the View menu, click Actions.
  4. On the Actions pane, click the View Assigned Access Control Markings button.
  5. In the Assigned Access Control Markings dialog box, click Modify Markings.
  6. In the Modify Assigned Access Control Markings dialog box, double-click the access control marking you want to assign to the record folder. A check icon appears.
  7. Click OK to enforce the changes and close the dialog box.
Assign an access control marking to a record
  1. In the Views pane, click Records and use one of the available views to select a record in the explorer grid.
  2. Right-click the record and click Open.
  3. In the viewer, if the Actions pane is hidden, on the View menu, click Actions.
  4. On the Actions pane, click the View Assigned Access Control Markings button.
  5. In the Assigned Access Control Markings dialog box, click Modify Markings.
  6. In the Modify Assigned Access Control Markings dialog box, double-click the access control marking you want to assign to the record. A check icon appears.
  7. Click OK to enforce the changes and close the dialog box.
