Users need specific privileges to work with access control markings. With the Apply privilege, you can assign an access control marking to any item in the file plan hierarchy. The Access privilege, conversely, allows users to detect instances in a file plan hierarchy with assigned access control markings. Like other privileges, you can grant or deny access control marking privileges to both groups and users. The user level privileges have priority in cases of conflicting privilege assignments between a user and the user’s assigned group. To grant users and groups privileges to work with access control markings, complete the following steps.
- In Management Console, in the left pane, under Select Department, select a department from the list.
- In the left pane, expand Records and click Picklists.
- In the Picklists pane, select the picklist containing the access control marking you want to set privileges for and click the Markings button.

box, select the marking you want to set privileges for and click Set Privileges.
Operation Procedure Assign privileges to users - In the Privileges dialog box, click Modify to open the Add Users or Groups dialog box.
- Click the Users tab.
- Use the search field to populate the Search results list with users who are not currently in the list in the Privileges dialog box.
- Select users whose privileges you want change and click Add.
- Click OK to return to the Privileges dialog box.
- Select a user whose privileges you want to set.
- Click the space below a privilege title in the user row to cycle through the Allow, Deny, or Unset options for the privilege.
Assign privileges to groups - In the Privileges dialog box, click Modify to open the Add Users or Groups dialog box.
- Click the Groups tab.
- Use the search field to populate the Search results list with groups that are not currently in the list in the Privileges dialog box.
- Select the groups you want to set privileges for and click Add.
- Click OK to return to the Privileges dialog box.
- Select a group whose privileges you want to set.
- Click the space below a privilege title in the group row to cycle through the Allow, Deny, or Unset options for the privilege.
- Click OK.
